Sharing interactive tools with guests (tool checkouts)

Using Interactive Tools

Much like a library, Therapist Aid members may “check out” interactive therapy tools to guests (clients, students, etc.) to use on their own devices. All your guests will need to do is visit the code input page, and enter a code that you provide. 

Tool checkouts allow your guests to use interactive tools outside of sessions for homework, or to access resources remotely during telehealth therapy sessions. 

You can view and manage your tools you’ve checked out from the Tool Checkout Management page.  

Checking Out a Tool

  1. Confirm that you are logged in to your account. 
  2. Navigate to the landing page of the interactive tool you would like to check out. This is the page with a brief description of the tool and a “Launch Tool” button. 
  3. Press the blue "Check Out to Guest" button. Read the brief notice, and then press “Check out Tool.” 
  4. Send the 5-character code to your guest, along with a link to the code input page (https://www.therapistaid.com/activity).

Accessing a Checked-Out Tool

  1. Instruct your guest to visit the code input page (https://www.therapistaid.com/activity). 
  2. Enter the 5-character code provided after checking out a tool and press "Submit."

Limitations of Tool Checkouts

Each checkout code may only be shared with one person, and they may not be shared publicly (e.g., on a website or social media). Tool checkouts expire after 3 weeks or 50 uses, whichever comes first. You may check out a maximum of 20 tools at any given time. 

Privacy 

To provide interactive tool checkouts, Therapist Aid will collect a small amount of personal information. The information collected is necessary for the feature to function. This information includes: 

  • The pages a user accesses on Therapist Aid 
  • Internet and electronic network information, such as a user’s IP address and browser information

If you are a HIPAA-covered entity, you must obtain your client’s signature on a HIPAA Authorization Form before using our tool checkout feature. If you do not have one, a template is available here (HIPAA Authorization Form).
